Extended Schools Monitoring Tool

Introduction

Building on the audit carried in 2005/06 and the lessons learnt during that process, the Extended Schools Team have been developing an easy to use on-line tool. This tool will allow schools to update the information about their progress at any time, and to be able to produce a report on demand that provides an analysis of the information about their school. There will also be a facility for cluster staff to produce analysis reports at a cluster level. The tool will also help to ensure that accurate information about your school’s progress in the extended services agenda can be given to the Department for Children, Schools and Families (DCSF).

How to Access

To log on, you will need to enter your school’s DfES number and S2S password (if you are not aware of your S2S password please contact your cluster based Extended Schools Development Manager).

Entering Information

Once you are logged in to the system, you will be presented with a front page, with help and guidance shown on screen. At this stage, we would be grateful if you could go into each section, review the information held on the system and make any alterations needed. Please ensure that at the end of each section you press the "Submit" button at the bottom of the screen. Your changes will then be sent to your cluster based Extended Schools Development Manager to approve before they will appear on the system. If you are unsure about any of the definitions you can click on the information buttons for further clarification.

Points to Consider

  • When entering and updating the information, please remember that extended services is not about looking solely at what your school is offering, but what is available in the local community. I.e. when considering community use, if your facilities are not suitable and /or needs are met in the local community (through the church hall/community centre, library, etc) your school is seen as meeting the core offer (as long as you are aware of these facilities and activities, and can signpost any enquiries you may receive to these centres). If this is the case then you should choose the "Signposting" option on the pull down menus. The same is true for childcare (including breakfast, after school, holiday clubs and childminders), varied menu of activities and parenting support.
  • If you have consulted with your pupils and parents, and it is clear that there is not an identified need for a particular element for the core offer, then there is not a requirement to identify or create such provision. If this is the case, then the "No community need" option from the pull down menu should be chosen. Alternatively, if a need has been identified but it is not currently a priority for the school to address, then please choose the "Not a school priority" option.
  • When you have submitted any changes to the data, you will not be able to make any more changes until that data has been approved by your cluster based Extended Schools Development Manager. Also, any reports that you produce will not reflect the changes you have made until these changes have been approved. It is anticipated that all changes will be reviewed by the Extended Schools Development Manager within 5 working days.
  • Next to the drop down menu there is an optional "more information" box. However if you do fill this in ( for example giving details of the activity or provider or date and result of a consultation) the school report will be much more personalised and meaningful and therefore more useful to you when sharing it with staff, governors or Ofsted.
  • Each section can be completed/ updated separately
