Whose responsibility is it to make sure Kent Trust Web is updated regularly?
Kent Trust Web was designed specifically so that content could be added and updated by local administrators. The Communication and Information Governance Team adds and updates content to its pages on a daily basis, as do many local administrators in schools and LA departments across the county.
When a new page is requested on Kent Trust Web, the Communication and Information Governance Team will be responsible for setting up the initial page, using information provided by the unit or team who has asked for the page.
Once the new page is set up, the CIG Team will train a local administrator how to update the information on their own.
The local administrator then holds the responsibility for making sure their Kent Trust Web page is up-to-date.
If you see information on a Kent Trust Web page which is no longer current, please contact the unit who own the page in the first instance, or send an e-mail to the CIG Team, who will contact the unit on your behalf.
Can everyone read what's on Kent Trust Web?
Yes. In order to make Kent Trust Web accessible at all time and to all users, (unlike KNet which is only accessible to the internal KCC user) the site itself is based on the World Wide Web (internet). This means that although we do not widely advertise the presence of the site to the general public, the site is open to all if they come across it while browsing, searching through search engines like Google, or are given a link.
You will need to be aware of this fact while uploading articles and/or documents that could contain sensitive information.
We are often asked if we plan to “password-protect” the whole of Kent Trust Web so that public access by unregistered users will not be a concern. This is not an option we are currently considering, as it has become increasingly clear that a lot of the information is of interest to the public as well as to education professionals.
The information on one of Kent Trust Web's pages needs updating. How can I make this happen?
If you know who they are, contact your team's Kent Trust Web Admininstrator. As Kent Trust Web is a developing site, not all units or LCSP currently have an allocated administrator. You may also wish to contact your LCSP Manager to find out what is already in place for your LCSP.
If you do not know who is responsible for the page you want to change, or you are interested in becoming an Administrator yourself, please complete a booking form to request training or contact the Communications & Information Governance Team, giving full details of which unit/LCSP you belong to and we will be happy to offer advice on making changes to your pages.
Why doesn't my department have a page on Kent Trust Web?
It may be that your department's page is still being constructed, or that it is contained within another department's section of Kent Trust Web. It is equally possible that no-one from your department has yet requested that a page be set up!
If you would like to discuss your department having a presence on Kent Trust Web, please contact the Communications & Information Governance Team on communicationcfe@kent.gov.uk or 01622 221201.
I need to add confidential information to Kent Trust Web. How should I do this?
Depending on the nature of the confidential or sensitive information you wish to post, there are various ways in which the Communications and Information Governance team can advise you.
We have developed a secure, password-protected areas on Kent Trust Web that has an extra layer of security to protect sensitive information. Please contact us if you are interested in developing such an area.
I don't have time to update my Kent Trust Web page. Will your team do it for me?
Kent Trust Web was specifically designed to allow local administrators to update their own pages and the idea is that a team would allocate a named administrator from their own staff to be trained by the CIG Team in how to update pages. That named administrator would then take on updating the website as part of their normal workload.
The main reason for doing this was that Kent Trust Web as a whole covers such a vast amount of different teams, schools and units that it is not feasible for a single central team to try and keep up with every single change of job title, policy or report from a team event that needs to be added to the website, as hundreds of these may be occurring on a daily basis. In order to keep the site as up-to-date as possible, it makes more sense for local staff to update it themselves as soon as they become aware of a change.
The Communication and Information Governance Team are of course able to make occasional updates to your ClusterWeb pages for you. You simply need to be aware that your request for a page change or update will be added to the main team tasklist and may take up to ten days to carry out during busy periods, depending on the nature of the request. If you are making a particularly large or difficult change to your pages, we will be more than happy to assist.
Urgent or emergency updates will be considered individually and carried out appropriately.
