Submitting an item for the E-Bulletin

What is the E-Bulletin?

The CFE E-Bulletin provides our Kent schools and local authority (LA) staff with a regular update of key education-related information and supports the drive to prioritise e-communications between schools and the LA.

Every Tuesday during term time all Kent schools and CFE staff receive an email summary of the articles in the E-Bulletin to their designated email address.  If your school email details have changed please compete our change of email address form and return to communicationcfe@kent.gov.uk

The E-Bulletin itself is also published online via Kent Trust Web so that anyone can read it.   You can access the CFE E-Bulletin from your school, office or home at a time that suits you.

How do I submit an item?

Complete our online form
Complete the form and attach documents online.  You will receive email confirmation with a reference number and a copy of your submission.  You can also save the form and return to it later before submitting.

Complete our Word form
Save this form to your computer, complete and return via email. Please remember to include any additional attachments in the email.

If you want to attach extra documents (flyers, Word documents, posters etc) to your E-Bulletin item they must be provided electronically.  If they are already available online (Kent Trust Web or external website) please provide the link.

Incomplete forms or forms missing attachments will be returned to the sender to be completed.  This may cause a delay in publication. 

What is the deadline? 

The deadline for submissions is by 5 pm on Thursdays, for inclusion the following Tuesday.

If you miss the deadline we will automatically defer your item to the next available week. If your message cannot wait until the following week's E-Bulletin, contact us for advice.  Please be aware that we assess every item's urgency on an individual basis and cannot guarantee to include it if you miss the deadline.

Plan ahead! You can of course submit an item at any time, specifying on the form which week you would like it included.

Will my item automatically be published?

No. We do not automatically publish every item submitted. Every article that we receive is checked to see if it is complete and suitable for publication.

Incomplete forms or forms sent in with minimal information may be returned to the sender with a request for further details.

Our policy is that we will not forward advertising from "unknown" or "unofficial" sources to our schools and staff. If a proposed E-Bulletin article is purely personal promotion (which could be considered "spam") it would probably not be included. This can also cover fundraising and commercial companies wanting KCC advertising or "backing" for their products.

Our duty as a Local Authority, in the DCSF code of practice for LA/school communication, is to protect schools from the burden of bureaucracy. We do not pass on school email addresses to third party organisations, nor can we take responsibility for advertising resources we are not in a position to check ourselves. Any curriculum based activities recommended to Kent schools by KCC through our bulletin would need to be checked and endorsed by the relevant member of staff before they could be listed.

If you are submitting an item from an external organisation please be aware you may need to allow us additional time to gain approval for inclusion of your article.  We will contact you to notify you of the outcome.

Can I include my item more than once?

Yes. When you complete the E-Bulletin form you can request for it to be included more than once.  However, please note that repeat items are included at our discretion and we will not feature repeat items for continuous weeks in a row.  This is in the interests of fairness to other users of the E-Bulletin and to ensure the bulletin remains relevant and of interest to its users. Ordinarily we will feature an item once, with one reminder if necessary. Please consider this when planning to submit an item and allow schools and staff adequate time to respond.

Why can't I email all the schools myself? Can't you give me a list of school email addresses? 

As a local authority, we have a statutory duty to gatekeep school email addresses (DfES Code of Practice on LA-School Communications, Annex 4).

Rather than overloading school mailboxes with hundreds of individual messages, the E-Bulletin allows a single weekly update to be the source of all important communications.

If the information you want to send the schools is purely locality based (e.g. specific to Maidstone schools only) we can ask the local partnership manager for that area to pass on the message through their own communication channels.

If your unit or team has a page on Kent Trust Web, we can also consider using that page to include news and events (supported by an E-Bulletin item to alert schools).

If the reason you want to send a message out to schools using the bulletin is purely to undertake promotional activities (which could be considered "spam"), this will be refused. 

We appreciate that occasionally it is necessary to alert all Kent schools urgently, and we will consider all individual requests for an urgent email to be sent to all Kent schools on their own merits.  Please email contact us to discuss your requirements.
